E-signatures & sharing reports
Get inspection reports signed by the inspector and tenant via Zedsign, then share the signed PDF.
Inspection reports are legally meaningful documents, so PropertyLink enforces a strict order: the report is e-signed first, and only the signed version can be emailed, WhatsApped, or printed.
How e-signing works

Press E-Sign on the inspection
One signing document is created via Zedsign with a signature field for each signer, placed exactly on the printed signature lines of the report.

Check the signers
The inspector’s details are prefilled from your account, and the tenant’s name and email are prefilled from the tenant record and locked, so the signer identity always matches your records. Either signer can be excluded for special cases.

Sign as the inspector — right in the app
After sending, an embedded signing window opens so the inspector signs immediately without leaving PropertyLink.

The tenant signs from their link
The tenant receives an email with their personal signing link, and optionally the same link via WhatsApp. They review the report and sign from any device.
The signed report
When every signer has signed, Zedsign seals the document and PropertyLink automatically archives the signed PDF against the inspection as a “Signed Report” document. Because the document only completes when all signatures are in, the shared report always carries both the inspector’s and the tenant’s signatures.
- Email — send the signed PDF to the owner, inspector, tenant, or any custom recipient.
- WhatsApp — deliver the signed PDF with a professional caption naming the property, unit, and inspection date.
- Print / download — produce a paper copy or keep a local file.
Why sharing is locked before signing
The Email, WhatsApp, and Print actions stay disabled until the signed report exists. This guarantees nobody accidentally circulates an unsigned draft.
Re-sending for signature
If you need to redo the signing (for example after correcting the report), send it for e-signature again — the newest fully-signed copy replaces the archived one automatically.
